Dakotas and Minnesota Foundations Administrative Assistant

The Dakotas and Minnesota Foundations are seeking a part-time administrative assistant based in Minneapolis to support staff with general office tasks, performing clerical duties, and assisting guests.

The Minnesota United Methodist Foundation (MNUMF) is a non-profit organization, originally established in 1969. The purpose of the Minnesota United Methodist Foundation is to assist churches and individuals within the Minnesota Annual Conference with their financial needs by providing asset management and providing financial stewardship programs and resources for local churches to give members an opportunity to demonstrate their faith and commitment in supporting local church, conference, and global ministries.

The Dakotas United Methodist Foundation cultivates and secures resources for churches and ministries of the Dakotas Annual Conference by developing relationships with a community of donors who embrace the value of changing lives and seeking the love of Jesus Christ for the transformation of the world.   

Purpose of position:
A master multi-tasker with excellent communication skills and an upbeat attitude. Candidates should be able to assist management and all visitors to the Foundations by handling office tasks, providing polite and professional assistance via phone, mail, and email, making reservations or travel arrangements, and generally being a helpful and positive presence in the workplace.

Key Outcomes: 
To be successful as an administrative assistant, candidates should be professional, polite, and attentive while also being accurate. They should always be prepared and responsive, willing to meet each challenge directly. The administrative assistant must be comfortable with computers, general office tasks, and excel at both verbal and written communication. Most importantly, the administrative assistant should have a genuine desire to meet the needs of others.


  • Answer phone inquiries, direct calls, and provide basic company information.
  • Maintain polite and professional communication via phone, e-mail, and mail.
  • Greet and assist visitors.
  • Perform clerical duties, take notes, maintain files, and organize documents; scan, fax, etc. as needed
  • Prepare information and research for executive needs.
  • Help prepare reports, presentations, and data for meetings.
  • Assist in planning company events, meetings, luncheons, and employee team building activities or special projects.
  • Providing real-time scheduling support by booking appointments and preventing conflicts.
  • Arrange schedules for meeting space and conference rooms.
  • Update staff calendars and organize schedules.
  • Making travel arrangements, such as booking flights, cars, and making hotel and restaurant reservations.
  • Assist with expense reports.
  • Anticipate the needs of others in order to ensure their seamless and positive experience.
  • Oversee mail deliveries, packages, and couriers.
  • Purchase, track, and invoice office supplies for each department.

  • An ability to understand the whole scope of the work of the Foundation and how a particular task fits in.

  • Share the vision/mission of the Foundation and in partnership with the annual conferences.
  • Have willingness to learn and be flexible.
  • Understanding of the United Methodist Church theological and organizational structure.
  • Proficient in Microsoft Office (Word, Excel, Outlook) Adobe, and Canva, web conferencing, web maintenance.

  • Able to effectively prioritize work assignments.
  • Able to maintain confidentiality when receiving and processing information.
  • Demonstrated experience in the administrative professional arena.
  • Willingness to learn and be flexible.
  • Proven skills in electronic file management and use of Microsoft Office.
  • Ability to learn new online, database, and publishing computer platforms.
