Chirst UMC in Maplewood is seeking an administrative assistant to provide administrative support to the pastor and volunteers to ensure efficient operation of the church office, development of quality and accurate communication materials, and delivery of timely services


  • Oversee Shepherd’s Staff functions: membership, attendance, offerings, pledge recording/envelope issuing, quarterly giver reports and year end statements, mailing lists, weekly updates to database and Concordia Technology, follow funds.

  • Handle office tasks, such as answering the phone, obtain and sort the mail, order stamps and office supplies

  • Edit and print newsletters and bulletins; assemble, sort and mail newsletters (with volunteers); fold bulletins for Sunday services and stuff with materials as required

  • Create PowerPoints for screen/worship leaders

  • Check Gmail and take appropriate action where applicable

  • Act as coordinating point for fundraiser pasty bake: update information sheet and order form; maintain order spreadsheet; update Mailchimp and send notification of bakes; work with head of Cornish pasty bakes to keep him updated (one week in February and October)

  • Ensure accurate records are kept, observing and following record retention requirements i.e., weekly attendance total for district superintendent when requested.

  • Maintain church directory; publish annually

  • Work with UMW, (United Methodist Women) when necessary, providing labels, etc.

  • Print attendance slips and usher attendance records, as required

  • Ensure that the following are sent out: Sunday giving tally to treasurer, donation acknowledgments

  • Maintain birthday list and keep pastor updated

  • See to it that the annual nonprofit license is obtained on time


  • Two or more years of administrative support experience

  • Strong communication skills, both verbal and written

  • Strong computer skills – Internet, email and written documents

  • Proficient in MS Office

  • Working knowledge of social media

  • Demonstrates excellent attention to detail and follow-through – keeping on a schedule and completing tasks on time

  • Excellent time management skills and ability to multitask and prioritize work

  • Strong organizing and planning skills

  • Demonstrates high level of accuracy in recordkeeping

$15.50-16.50 hourly
