Administrative Assistant

The United Methodist Church of Anoka is seeking a part-time administrative assistant. The administrative assistant will provide secretarial services to the pastors, staff, and leaders of United Methodist Church of Anoka (UMCA) and administer operations of the church office.


  • Secretarial: perform secretarial duties required by pastors, other staff, and occasionally for church leaders; develop communication materials to support committees, maintain church files and records, log weekly Sunday attendance, and prepare visitor reports and prayer requests for staff
  • Calendar: oversee the master calendar for church functions including church events and building usage by outside groups; send meeting notices and reminders

  • Reception: answer, screen, and direct phone calls and messages; receive and assist visitors to the office; interact with the public, vendors, and congregants; keep pastors informed

  • Mail: distribute daily mail delivery, prepare outgoing mailings as needed, answer and direct all incoming email to the church office

  • Bulletins: compile information and publish weekly worship bulletins (including large print); prepare bulletins for special services and funerals

  • Meetings: attend weekly staff meetings, meet regularly with the lead pastor as needed to maintain communication

  • Operations: monitor daily operations of the church; forward building usage requests to facilities manager; address urgent service or repair needs in consultation with facilities manager and lead pastor

  • Office Management: maintain inventory of office supplies and equipment, order when needed; manage day to day functioning of church office

  • Communications: update website weekly; generate and send weekly email newsletter; design posts for social media; maintain digital calendar for the website; update email database

  • Additional Duties: as time and capacity allows, might include assisting with creation of slides for Sunday morning worship, additional responsibilities in database management, assisting with counting weekly offering, entering weekly contributions, preparing annual reports

  • Knowledge and skill with current technology including: PC Windows; Microsoft Office - Word, Publisher, Excel; Gmail and G Suites (Calendar, Google Docs, etc); database operations (we use Servant Keeper); basic web skills to update website and social media; Mail Chimp for weekly email newsletter and special announcements; electronic sign software; and copier equipment
